Sickness Policy

At Muddy Wellies, the health and well-being of all children is a top priority. Children who are unwell should not attend the setting, as this helps prevent the spread of illness to other children and staff.

General Guidelines:

  • If your child has been unwell with a sickness bug or diarrhoea, they must remain at home for at least 48 hours after the last episode.
  • Children should not attend if they have a fever, persistent cough, or any contagious illness.
  • Parents are asked to inform Muddy Wellies promptly if their child is unwell and will be absent.

During the Day:

  • If a child becomes unwell while at Muddy Wellies, parents or emergency contacts will be contacted immediately.
  • The child will be comforted and cared for in a quiet, safe area away from other children until they are collected.
  • Any necessary first aid or medical attention will be provided, and details recorded in the accident/illness log.

Preventative Measures:

  • Staff practice good hygiene, including regular handwashing and cleaning of toys and surfaces.
  • Children are encouraged to wash hands before meals and after outdoor play, promoting healthy habits.
  • Toys and equipment are cleaned regularly to minimise the risk of infection.

Policy Statement
At Muddy Wellies Boutique childminding, the safety and well being of every child in our care is our highest priority. We are fully committed to safeguarding and promoting the welfare of children and protecting them from harm, abuse and neglect.
As a registered childminder, I understand my duty of care and legal responsibilities under the Children's Act 1989 and 2004, The Social Services and Well-being Act 2014, the All Wales child protection Procedures, and the National Minimum Standards for Regulated Childcare in Wales.
I aim to create an environment where children feel safe,valued,and confident to speak up if something is wrong.I promote open communication with children and families, and respond swiftly and appropriately to any safeguarding concerns, disclosures, or allegations.
I work closely with parents/carers, children's services,CIW,and other professionals to ensure that children's needs are met and their rights upheld.
All concerns or incidents will be treated seriously and in line with our safeguarding procedures , which are reviewed regularly and reflect current legislation and best practice.

Reporting allegations of abuse
If a child tells me that they are being abused I will :
⦁ Listen to what the child has to say without interrupting
⦁ Reassure the child that they are doing the right thing by talking to me
⦁ Encourage the child without asking lead questions
⦁ Show that I understand what they have told me
⦁ Explain that I am going to take action in a way a child can understand.
⦁ Make a log of what the child has told me , including the date and time , and add it into the child's personal file
⦁ Keep everything I have heard confidential and only report to the Torfaen authority or relevant professionals .

If a child tells me that another child is being abused I will :

⦁ Listen to what the child has to say without interrupting

⦁ Not speak to the family about the allegation until it has been investigated by the correct authorities
⦁ Cooperate with any questions the authorities may ask
⦁ I will contact the NSPCC for advice
⦁ Make a record of the allegation

I work closely with parents and ask that they notify me of any accidents,incidents or injuries affecting the child .
If I feel it is safe to do so , I will discuss with parents if I notice
⦁ Signs of neglect
⦁ Bruises or marks that have not been reported as an accident or incident
⦁ Any information from a child that causes concern
If a parent informs me that a child will be picked up by someone different , a password will be provided .
Please note , I will only allow a child to leave my home if I am assured it is safe to do so.

Training
I will attend regular safeguarding training as required . This policy will be reviewed regularly and updated when needed .

Providing a safe environment in my home
⦁ Risk assessments will be carried out daily for inside and outside of the home
⦁ All authorised adults working with children will be DBS checked along with family members or anyone living in the home over 16 years of age which include my husband and daughter.
⦁ All safety and play equipment will be regularly checked .
⦁ Children will be supervised taking a balanced approach

Confidentiality
At Muddy wellies we are committed to maintaining the confidentiality of all children and families in our care. We follow these principles:
⦁ Need to know basis - All personal information along with observations and safeguarding concerns is only shared with relevant professionals , and never with others who do not have a legitimate reason to know .
⦁ Records kept securely-All personal information along with observations and safeguarding records are stored securely and only accessible to the childminder or authorised safeguarding professionals.
⦁ Child's best interests come first- While we aim to maintain confidentiality when there is a safeguarding concern , however, if we feel the child is at risk of harm or abuse , we will not seek parental consent to share information with the local safeguarding agency.
⦁ Parental communication- Parents/carers will be informed with any concerns unless doing so would put the child at risk, in which case we would follow advice from the local children's services.
⦁ No promises or secrecy-In our setting children will be supported to speak openly, but will never be promised to keep something secret if it involves their safety. We will explain that we may need to talk to other adults who can help keep them safe.
⦁ Confidential discussions-All discussions about the welfare of the children in our setting will be held privately and respectfully. We will never discuss individual children with anyone outside the setting, which includes other parents.
⦁ Data protection compliance- We will follow the requirements of the UK GDPR and data protection act 2018, ensuring that any personal information is handled lawfully, fairly and transparently.
Whistle blowing
Here at Muddy wellies , we are committed to ensuring the safety of both children and adults. This whistleblowing policy is designed to encourage any staff , volunteers and parents,to raise concerns about any situation that may compromise the welfare or the safety and integrity of the setting.
Whistle blowing refers to the act of reporting any concerns or suspicions of wrong doing or unsafe practices within the setting including any concerns about child abuse , neglect ,or the behaviour of any person within the setting.
All staff have a duty to report any concerns. Concerns can be reported directly to the the childminder. It should be reported to CIW ,children's services or the LADO.
If any inappropriate behaviour is observed by visitors or parents , they should report to the childminder.
The person who reports the concern in good faith will not face any retaliation or detriment as a result. Confidentiality will be maintained throughout the process and the individual who reported the concern will be kept informed of any progress.
Information will only be shared on a need to know basis ie the relevant professionals .
If concerns are found to be false they may result in disciplinary action.
If anyone feels their concerns have not been adequately dealt with, they can contact LADO, children's services directly.

At Muddy Wellies, our sand pit provides a fun and safe space for children to explore, dig, build, and play creatively. Children are always supervised while using the sand pit to ensure their safety and encourage positive play.

Before play, children are reminded of safe sand pit rules, such as keeping sand in the pit, not throwing sand, and washing hands after play. The sand pit and surrounding area are regularly checked and maintained to ensure it remains clean, safe, and free from hazards.

Children are encouraged to share toys, take turns, and enjoy sensory exploration while using the sand pit, helping to develop social skills, creativity, and motor skills in a fun and supportive environment.

                                                                             Water Play Station Policy

At Muddy Wellies, our water play station gives children the chance to explore, experiment, and have fun with water in a safe and supervised way. Children are always closely supervised while using the water station to prevent accidents and ensure safe play.

Before play, children are reminded of safety rules, such as not splashing others, keeping water in the designated area, and washing hands afterwards. The water play station is regularly checked, cleaned, and maintained to ensure it stays safe and hygienic for all children.

Water play encourages creativity, problem-solving, and sensory development, while also promoting social skills as children take turns and share the equipment in a supportive and enjoyable environment.

At Muddy Wellies, we want every child to feel safe, happy, and confident as they start their time with us. We understand that each child is unique, and settling in at their own pace helps them feel comfortable and secure.

Initial Visit:
Before starting, families are invited to visit Muddy Wellies to meet me, explore the home, and ask any questions. This helps children feel familiar with the environment and gives parents the chance to talk about their child’s routines, interests, and needs.

All About Me Form:
Parents complete an All About Me form to share key information about their child, including routines, likes and dislikes, and any dietary needs or minor additional support requirements.

Gentle Introduction:
Children usually start with short sessions, often around 2 hours with the parent present, to help them get used to the setting. These shorter sessions with parents are offered at a reduced hourly rate. Sessions are gradually increased as the child feels more comfortable, always at a pace that suits them.

Support and Observation:
During settling-in, children are offered familiar toys, comfort items, and reassurance. Parents are encouraged to share feedback, and I observe each child closely to ensure they feel happy and secure.

Parents Choosing to Skip Settling-In:
If parents prefer not to take part in the gradual settling-in, this is recorded. The child may start immediately, and their needs will be carefully monitored during the first sessions to make sure they feel safe, supported, and happy.

Full Integration:
Once children feel confident, they join their regular sessions, enjoying all the play, learning, and activities that Muddy Wellies offers. Our settling-in approach is always flexible and tailored, helping every child feel ready to thrive in our care.

Purpose
At Muddy Wellies, the safety and well-being of children in our care is our top priority. This Accident Policy outlines the procedures to be followed in the event of any accident, injury, or sudden illness affecting children, the childminder, or any visitor on the premises. It aligns with the Child Minding and Day Care (Wales) Regulations 2010 and the National Minimum Standards for Regulated Childcare.

 

This policy covers:

All accidents, from minor bumps and cuts to serious injuries or sudden illnesses.

Accidents involving children, the childminder, or visitors.

Procedures for reporting, recording, and responding to incidents.

 

Immediate Response to Accidents

1. Assessment and Care

The injured person’s condition is assessed immediately.

First aid is administered promptly using the on-site first aid kit.

Children are reassured and comforted to maintain a calm and supportive environment.

 

2. Emergency Services

For serious injuries or if the child’s condition deteriorates, the emergency services (999) are contacted immediately.

Parents or guardians are informed without delay.

 

Recording and Reporting

All accidents are documented in the accident log, including:

Date, time, and location of the incident

Names of the people involved

Details of the injury or illness

First aid administered

Any follow-up action taken


Parents are informed of all accidents and asked to sign the accident record.

Serious incidents are reported to the Care Inspectorate Wales (CIW) as required.

Records are retained securely for a minimum of three years.

 

Preventative Measures

Regular risk assessments are carried out to minimise hazards (see Risk Assessment Policy).

First aid supplies are maintained, checked regularly, and replenished as needed.

Children are supervised at all times to prevent accidents, indoors and outdoors.


Parental Communication and Consent

Parents provide written consent for emergency treatment and hospital visits if necessary.

Parents are informed promptly about any accident and the actions taken.

Emergency contact details are kept up to date to ensure immediate communication.

 

If the Childminder Has an Accident

1. Assess the Situation Immediately

Ensure your own safety first. If you are conscious and able, quickly assess the severity of your injury.

If you can move safely, check the children’s safety first.

 

2. Ensure Children’s Safety

Move children to a safe area away from hazards.

Keep them calm and supervised at all times.

If necessary, use nearby adults (e.g., visiting parent, neighbour) for immediate support while you contact help.

 

3. Contact Emergency Services

Call 999 immediately if the accident is serious and you are unable to continue supervising children safely.

Explain that you are the sole childminder and need urgent assistance.

 

4. Contact Parents/Guardians

Call parents to inform them of the accident and that emergency services are on their way.

Ask parents if they can come immediately or designate another adult to collect the children safely.

 

5. Administer First Aid (if possible)

If the injury allows, administer basic first aid to yourself or children if needed.

Keep first aid supplies accessible at all times.

 

6. Record the Accident

Once the situation is under control, complete the accident log for your own injury and any incidents with children.

Include details of the accident, any first aid given, and which services were contacted.

 

7. Temporary Closure

If you are unable to continue caring for the children, the setting should be temporarily closed until parents or emergency personnel arrive.

Ensure children remain safe until they are collected.

 


Review
This policy is reviewed at least annually, or whenever changes to the premises, children, or relevant regulations occur.

We believe all children have the right to high-quality childcare tailored to their individual needs.

Our approach aligns with the Additional Learning Needs and Education Tribunal (Wales) Act 2018, ensuring inclusivity and accessibility for all children. We also follow Regulation 24 of The Child Minding and Day Care (Wales) Regulations 2010, which highlights the importance of addressing children’s health and developmental needs, and Standard 4 of the National Minimum Standards for Regulated Childcare, emphasising support for individual learning and developmental requirements.

I regularly observe and assess each child’s development to identify any additional learning needs. This includes monitoring progress in areas such as:

Where a child may require further support, I will work closely with parents and, if needed, liaise with local authority professionals or external agencies to ensure appropriate interventions and guidance are available.

This ensures children have access to appropriate facilities, resources, and play opportunities tailored to their individual needs. I adapt the physical environment and resources as reasonably possible to enhance accessibility and inclusivity.

At Muddy Wellies, the safety, health, and well-being of the children in our care is our highest priority. Our Risk Assessment Policy is designed to meet The Child Minding and Day Care (Wales) Regulations 2010 and the National Minimum Standards for Regulated Childcare, specifically Regulation 25: Hazards and Safety, and Standard 24: Children are cared for and have their needs met in a safe environment.

 

Purpose of Risk Assessments

Risk assessments are conducted to:

Identify potential hazards in both indoor and outdoor areas.

Assess who might be harmed and how.

Evaluate risks and decide on measures to minimise them.

Record findings and review them regularly to maintain a safe environment.


Risk assessments are an ongoing process, not a one-off task. They are reviewed at least annually, whenever changes occur in the home, garden, outdoor play areas, or when children’s needs change.

 

HSE 5 Steps to Risk Assessment

We follow the Health and Safety Executive (HSE) 5 Steps to Risk Assessment:

1. Identify hazards – Anything that could cause harm to children, visitors, or staff.

At Muddy Wellies, we are committed to maintaining the highest standards of confidentiality and data protection in accordance with the Data Protection Act 2018, the General Data Protection Regulation (GDPR), and the Child Minding and Day Care (Wales) Regulations 2010.

Purpose

This policy ensures that personal data about children, parents, and families is collected, stored, and processed safely, lawfully, and transparently. It applies to all records, both paper and digital, including photos, contact details, and health information.


Key Principles

We adhere to the seven principles of data protection:

1. Lawful and Fair Processing – We only collect data necessary for childcare services and regulatory compliance, and always with parental consent.


2. Purpose Limitation – Data is only used for the purpose it was collected. It will not be used for unrelated marketing or other activities.


3. Data Minimisation – Only the data required to provide childcare services will be collected.


4. Accuracy – Parents are asked annually to confirm that their child’s data is accurate and up to date.


5. Storage Limitation – Data is retained for no longer than necessary. Child records are kept for a minimum of three years from the child leaving the setting, unless longer retention is required by law or insurance.


6. Integrity and Confidentiality – All personal data is stored securely, including digital records on phone and computer with password protection and encryption, and paper records in locked storage.


7. Accountability – Muddy Wellies can demonstrate compliance with GDPR and data protection laws.

 

Confidentiality

Personal information about children, parents, or families is treated as confidential.

Information is only shared with other professionals (e.g., health visitors, schools) with parental consent unless required for safeguarding or legal reasons.

Parents are asked to respect the privacy of other families and children within the setting.


Individual Rights

Parents have the following rights under GDPR:

Right to be informed – about what data we hold and why.

Right of access – to request copies of records relating to their child.

Right to rectification – to correct inaccurate data.

Right to erasure – to request deletion of data that is no longer needed.

Right to restrict processing – to limit how data is used.

Right to data portability – to receive their child’s data in a readable format.

Right to object – to processing for certain purposes, such as marketing.

Digital Records and Social Media

Photos and records may be stored digitally on phone and computer for operational purposes.

Data shared on the Muddy Wellies Facebook page will only be shared with parental consent.

Passwords, encryption, and regular backups are used to protect digital data.


Record Keeping

All records of accidents, incidents, and medication are documented and stored securely.

Records relevant to regulatory or insurance purposes may be shared with CIW or insurers as required.

Records are retained for at least three years after a child leaves the setting.

 


Breach Response

In the event of a suspected data breach, Muddy Wellies will:

1. Investigate immediately.


2. Notify the Information Commissioner’s Office (ICO) within 72 hours if required.


3. Take steps to mitigate and prevent recurrence.

 

CCTV

Muddy Wellies does not use CCTV.

Should CCTV ever be installed, strict protocols will be followed to protect privacy and comply with GDPR.

 


Consent and Privacy Notice

Parents provide written consent for the collection and processing of their child’s data.

Explicit consent is also obtained before sharing photos or digital content online or with other professionals.

                                                                                    Medication Policy

At Muddy Wellies Childminding, Torfaen, I uphold the highest standards of safety and well-being for the children in my care, including the administration of medication. My policy aligns with:

The Child Minding and Day Care (Wales) Regulations 2010 – particularly Regulation 26 (Medicines)

National Minimum Standards for Regulated Childcare, notably Standard 11 (Safeguarding children through effective medication policies and procedures).

 

Qualifications, Experience, and Training

I am trained in administering medication safely and keep my knowledge of health and safety protocols up to date. I hold a valid Paediatric First Aid Certificate, which includes training on the safe use of EpiPen and Jext auto-injectors.

 

Parental Consent and Record Keeping

I will only administer medication with written parental consent.

Parents must complete and sign a Medication Consent Form, which details:

the child’s name

medication name and type

dosage

frequency/timings

potential side effects

date and time of the last dose given.


I will document all medication given in my Medication Record Book, which parents will be asked to sign when collecting their child.

 

Parental Notification

Parents must tell me the time of the most recent dose given before their child arrives.

I require parents to administer the first dose of any new medication (whether prescribed or over-the-counter) at least 3 hours before the session starts, so any adverse reaction can be monitored at home.

 

Self-Administration

If a child is old enough and is authorised to self-administer medication, this will only take place with written parental consent and in line with clear written instructions. The medication will always be supervised by me and stored securely when not in use.

 

Medication Storage

All medicines must be provided in their original container, clearly labelled with the child’s name.

Prescription medicines will only be given if prescribed for that specific child.

I will check that medication is in date before use.

All medicines will be stored securely and out of children’s reach.

 

Side Effects and Additional Training

Parents are asked to share any known side effects of their child’s medication.

If a medicine requires specialist training, I will seek guidance from a qualified health professional before agreeing to administer it.


Emergency Pain Relief

If a child develops a temperature of 38°C or higher or shows signs of distress/discomfort that cannot be managed by initial first aid (cooling, fluids, rest), I may administer Calpol (paracetamol).

If I cannot reach parents within 20 minutes, I will follow my Emergency Pain Relief Consent Form (signed at enrolment) and administer Calpol in line with dosage guidelines.

Parents will be informed immediately, and arrangements will be made for the child to be collected.

This procedure works alongside my Sickness Policy.


Insurance Coverage

I am fully covered by my Public Liability Insurance to administer medication.


At Muddy Wellies Childminding, the safety, health, and comfort of children is always my priority. This Medication Policy ensures I meet regulatory standards while giving parents confidence that medicines are handled safely, consistently, and with full transparency.

At Muddy Wellies Childminding, Torfaen, I am committed to addressing any concerns or complaints promptly and effectively to ensure the well-being of the children in my care. I adhere to The Child Minding and Day Care (Wales) Regulations 2010 and the National Minimum Standards for Regulated Childcare for children up to the age of 12 years.

Specifically, this policy is written in line with:

Standard 19: Children and their parents are confident that their complaints will be listened to, taken seriously, and acted on.


As equally valuable as complaints, compliments are encouraged as they support me in reflecting on my practice. Knowing what parents and children feel I do well helps me continue to provide positive, high-quality care.

 


What I Will Do

Encourage Open Communication
I will foster open communication with parents/carers and children, encouraging them to raise concerns as soon as possible. I believe clear, honest communication builds trust and helps ensure the best possible care for children.

Handle Complaints Sensitively
All complaints will be handled with sensitivity and confidentiality, respecting the privacy and dignity of those involved. My aim is always to resolve issues constructively and fairly.

Ensure Accessibility
My complaints procedure will be clearly explained to parents at the start of care, and parents are always welcome to contact me by phone (07879 080762), WhatsApp, or email (muddywellieschildmindingtorfaen@outlook.com).

Provide Information on Advocacy Services
Where appropriate, I will signpost parents to advocacy services that may assist them, for example PACEY (Professional Association for Childcare and Early Years) who provide support to parents.

Commit to Timely Resolution
I am committed to addressing complaints promptly and aim to resolve all complaints within 14 days of receipt. If I need additional time for investigation, I will agree this with the complainant and keep them informed throughout.

Maintain Detailed Records

Parents will always be informed of their right to escalate a complaint directly to CIW if they feel their concerns have not been fully resolved through my procedure.

Concurrent Consideration
If a complaint becomes subject to legal proceedings or other investigations, I may need to pause consideration until those are complete. I will follow Regulation 36 requirements in such cases.

At Muddy Wellies, we are committed to ensuring the safety and well-being of all children in our care. Our procedures follow the Childminding and Daycare (Wales) Regulations 2010, the National Minimum Standards for Regulated Childcare (Standard 5.1), and are aligned with Wales Safeguarding Procedures and the All Wales Practice Guide: Safeguarding children who go missing from home or care.


Supervision and Safety Measures

To prevent incidents where a child may go missing, we implement the following measures:

Secure premises: All doors are kept locked during care sessions, and keys are stored on hand at all times but out of reach of children. Garden gates are securely closed.

Controlled outings: Children are only taken on walks in small groups with appropriate adult-to-child ratios, following a risk assessment.

Child safety equipment: During outings, children are safely restrained in pushchairs or with safety harnesses when needed.

Identification: While on outings, I maintain a written list of children in attendance and have emergency contact details readily available.

Procedure for a Missing Child

If a child goes missing while in my care:

1. Immediate action: A thorough search of the premises and surrounding area is conducted.


2. Contact parents: Parents/carers are contacted immediately via a phone call.


3. Escalation: If the child is not located within 10 minutes, the police are informed, followed by notifying Care Inspectorate Wales.

4. Police information: I provide full details, including the child’s name, age, physical description, last known location, and any relevant medical or behavioural information.


5. Community support: Neighbours may be informed to provide assistance in locating the child, if appropriate.

Handling Non-Arrivals

If a child fails to arrive at the setting as arranged (for example, older children walking from school), or if parents fail to notify me of non-attendance:

I will attempt to contact parents or carers to confirm expected arrival.

If a child is 20 minutes late, the missing child procedure is enacted.

Parents are asked to communicate delays or absences before the session start time so the schedule can be adjusted accordingly.


Procedure for Uncollected Children

If a child is not collected within a reasonable timeframe:

1. Late collection fee: £1 per minute will be charged for delays exceeding 5 minutes past the agreed collection time.


2. Parent contact: If uncollected 15 minutes after the agreed time, I will contact parents or carers via phone or WhatsApp.


3. Emergency contacts: If no response, I continue contacting all listed emergency contacts.


4. Escalation: If no contact is made after 45 minutes total, the matter is escalated to Torfaen County Borough Council Social Services.

We believe in teaching children good morals and manners, such as respect for others, honesty, and responsibility.

We set clear, age-appropriate boundaries so that children understand what is expected of them.

We use gentle guidance and redirection to help children make better choices.

We do not use any form of physical punishment, humiliation, or harsh discipline.

Our Muddy Wellies House Rules

At Muddy Wellies Boutique Childminding, our House Rules help everyone feel safe, happy, and ready to have fun! We keep them simple, positive, and easy to follow, so children can enjoy their day and learn about kindness, respect, and responsibility.

What we do at Muddy Wellies:

Shoes stay at the door! – We love messy adventures, so your shoes go in the hallway and after muddy adventures they go in the box outside the door. This keeps our indoor space cosy and clean, and means little muddy footprints don’t sneak inside. Slippers are welcome if you like!

Table Manners – We sit nicely at the table or on our special spots for meals and snacks. We chat politely, try our food, and enjoy the company of our friends.

Kind and Respectful Behaviour – We treat everyone with kindness, listen to each other, and use polite words. Conflicts are solved with gentle words, not shouting or pushing.

Sharing and Tidying Up – Toys and resources are for everyone, so we share, take turns, and put things away after playtime. Helping tidy is part of keeping our space happy and welcoming. We make this fun with our tidy away song!

Gentle with Toys and Nature – We care for our toys, play equipment, and the garden. This includes looking after plants, mud patches, and any wildlife we meet in our outdoor adventures.

Use Our Indoor and Outdoor Spaces Safely – We walk inside, keep our hands safe, and enjoy outdoor play safely. We follow instructions to keep everyone healthy and happy.

Listen and Learn – We try our best to follow instructions, ask for help if needed, and learn from our mistakes. Everyone is allowed to have a turn, and everyone’s ideas
are valued.


Physical Intervention at Muddy Wellies

At Muddy Wellies Boutique Childminding, we do not use physical punishment. This means no smacking, shaking, shouting, humiliation, intimidation, or shaming is ever used. We also do not threaten physical intervention as a form of discipline.

Physical intervention is only considered in rare situations where a child may harm themselves or others. In these cases, we use gentle guidance, calm language, and caring gestures to keep the child safe.

All incidents requiring physical intervention are recorded in detail, and parents are informed on the same day. This ensures transparency and allows parents to be involved in discussions about the incident and how it was managed.

We also aim to raise awareness among parents about the legal protections for children in Wales and the importance of positive discipline. Through open communication, we share advice, resources, and guidance about safe and constructive approaches to behaviour.

 

Anti-Bullying at Muddy Wellies

At Muddy Wellies, we are committed to creating a safe, caring, and inclusive environment where bullying is never tolerated. We work together with children and parents to promote respect, kindness, and understanding.

Our approach includes:

Encouraging Open Communication – Children are supported to share worries, experiences, or feelings during circle time or one-to-one chats.

Observation and Vigilance – We carefully watch interactions between children to spot any signs of bullying, such as changes in behaviour or social patterns.

Education About Bullying – Age-appropriate discussions and activities help children understand what bullying is and why it is harmful.

Zero-Tolerance Policy – Clear expectations and consequences are explained to all children: bullying behaviour will not be accepted.

Supporting Victims – Children who experience bullying are offered a safe, confidential space to express themselves. We listen empathetically and provide comfort.

Biting Incidents at Muddy Wellies

We understand that biting can happen, especially with young children exploring, teething, or experiencing frustration. At Muddy Wellies, we handle biting sensitively, calmly, and constructively to support all children involved.

Our approach includes:

Observation and Prevention – We look for triggers and patterns that may lead to biting and adjust routines or activities accordingly.

Immediate Care – Any child who is bitten receives comfort, attention, and appropriate first aid. The incident is recorded, and parents are asked to acknowledge it by signing.

Supporting the Child Who Bites – Children are guided to understand that biting is not acceptable. Younger children receive gentle redirection, while older children receive verbal explanations.

Restorative Measures – Children are encouraged to apologise and learn ways to manage their emotions and actions appropriately.

Collaboration with Parents – Open communication ensures parents are involved, and we welcome advance notice if a child has a history of biting.


By working together with children and parents, we promote a safe, supportive, and happy environment for everyone at Muddy Wellies.

Strategies We Use

Positive reinforcement: Encouraging desired behaviour through praise, encouragement, and rewards where appropriate. Using fun ways such as star and sticker charts.

Reflection and learning: Supporting children to talk about their feelings and understand the impact of their actions. We have lots of resources to help children express their felings such as emotion flash cards and books .


Working with Parents

We recognise that children learn best when parents and childminders work in partnership. To support open communication:

We share information through personal diaries, sent home weekly.

We use WhatsApp updates to keep parents informed about their child’s progress and any concerns will be raised in person.

If ongoing behaviour concerns arise, we will discuss these openly with parents to agree on consistent strategies both at home and in our setting.


Recording and Monitoring

We keep written documentaion records of any recurring or significant behaviour concerns.

These records are shared with parents in a transparent and supportive way.

If needed, we will seek advice from outside agencies to ensure the best outcomes for the child.

Safe Collection Procedures
To ensure every child's safety and security, children will only be released to adults who are explicitly authorised by their parents or guardians. Parents must provide a list of individuals permitted to collect their child, including any identifying details or photos to assist with recognition. In emergency situations, a password system may be used to allow collection by an unauthorised adult, provided the password has been agreed upon in advance and parents have given written consent. Upon collection, the adult collecting must show identification and sign an emergency collection form.

Timeliness and Communication
It is important that children are collected promptly at the agreed times to maintain their routine and avoid unnecessary distress. We understand that occasional delays happen; however, parents are asked to inform us as soon as possible if they expect to be late. In the event of an unexpected delay, please contact us immediately with your estimated arrival time. If late collection occurs, we will do our best to accommodate the child’s needs, reassure them, and contact authorised individuals if necessary.

Policy on Repeated Late Collections
Consistent lateness at drop-off or pick-up can disrupt the childcare environment and affect all children’s wellbeing. If lateness becomes frequent despite reminders and discussions, we reserve the right to review and, if necessary, terminate the childcare agreement to maintain a reliable and stable environment for everyone.

Late Collection Charges
If a child is not collected by the agreed time and no prior notice has been given, a late fee of £1 per minute will be charged. If attempts to reach parents or authorised contacts fail, we will follow safeguarding procedures which may include contacting emergency services or Social Services, in line with legal and regulatory guidance.

Doorstep Procedure

For the safety and security of all children in my care, drop-off and collection will take place at the front door. Parents and carers will not normally enter the setting during these times.

This is important because:

⦁ It helps keep the number of adults coming in and out of the home to a minimum, which protects the safety of the children.

⦁ It maintains confidentiality for other children and families.

⦁ It reduces disruption to the children’s routine and play.

⦁ It supports good safeguarding practice, ensuring that only authorised adults are in contact with the children.


If a private conversation is needed, or you wish to discuss your child’s progress, I will happily arrange a suitable time to meet or chat on the phone.

                                                                       Fire and Emergency Evacuation Procedure

Purpose
This procedure outlines the steps to be taken to safely evacuate the premises in the event of an emergency, which may include fire, gas leaks, flooding, earthquakes, or any other immediate threat to the safety of children, staff, or visitors.

Regular Evacuation Drills
To ensure everyone is familiar with the evacuation process, we conduct monthly fire drills. These take place on different days and at varying times to give all children the opportunity to practice evacuation. A detailed record of each drill is kept in the fire safety logbook.

Evacuation Procedure
Raising the Alarm

Clearly shout “FIRE, FIRE, FIRE” three times to alert everyone.

Use the whistle to signal the start of evacuation.


Safe Evacuation
Calmly escort all children out of the building using the closest and safest fire exits, of which two have been designated. Front entrance door and back entrance door of the property.
Take essential items including:
Emergency contact list (Kept in log book near exit)
Attendance register for the day
Mobile phone for communication


Assembly Point
Gather at the prearranged meeting spot, the driveway where a headcount will be carried out.


Contacting Emergency Services
Immediately call emergency services 999 to report the situation.


Reassurance and Comfort
Keep children calm and reassured throughout the process, maintaining a supportive environment.


Temporary Care Arrangements
Organise a safe location for children to stay until parents or guardians can collect them, ensuring their comfort and safety.


Cooperation with Emergency Personnel
Follow all instructions given by emergency responders on site.


Re-entry
Do not return to the building until emergency services confirm it is safe.

At Muddy Wellies, I am committed to making nappy changing, potty training and toilet training positive, respectful, and supportive experiences for every child. These are important milestones in a child’s development, and I work closely with parents and carers to ensure that children feel confident, secure, and empowered as they grow in independence.

Partnership with Parents

Parents are asked to provide nappies, wipes, creams, training pants or pull-ups, and spare clothes for their child.

I follow parents’ preferences for toilet training, while also ensuring that all practices meet the standards set out by CIW and the National Minimum Standards for Regulated Childcare in Wales.

I will keep parents fully informed about their child’s nappy changes, progress, and any issues that may arise. This is recorded daily and shared at collection, or via written logs if requested.


Creating a Positive Experience

Nappy changing and potty/toilet times are treated as valuable opportunities for interaction, communication, and learning.

I engage children with singing, conversation, and encouragement during changes, using my musical background to make the experience fun and relaxed.

Sticker charts, star charts and positive praise are used (in line with parents’ wishes) to encourage confidence and motivation.

A calm, reassuring approach is always taken—no child will ever be pressured or rushed.


Equipment and Resources

I provide a range of clean, safe and age-appropriate resources to support toilet training, including:

Potties

Toilet trainer seats

Steps to reach the toilet and wash basin

Educational books, songs, and visual aids about potty training

Role play and interactive activities (e.g. wetting dolls, colouring sheets)


These resources encourage children to explore toileting with independence and confidence.

Hygiene and Intimate Care

Children are encouraged to wipe themselves after using the potty or toilet, with gentle support where needed. This helps build independence while ensuring good hygiene.

All soiled nappies and wipes are disposed of safely and hygienically, and changing areas are cleaned and sanitised after each use.

Hands are washed thoroughly after each nappy change or toilet use.

My Intimate Care Policy ensures dignity, respect, and safeguarding are always maintained.


Support for Older Children

For children of menstrual age, discreet access to feminine hygiene products is available.

Sanitary bins are provided to ensure privacy, comfort, and hygiene.

Open and sensitive conversations are encouraged where appropriate, always respecting each child’s dignity.


Safeguarding and Wellbeing

All toileting routines are carried out in line with safeguarding requirements.

Children are never left unattended when using the potty or toilet.

Any concerns (such as constipation, discomfort, or refusal to use the toilet) are shared with parents promptly, and if needed, advice may be sought from health professionals.
